Tapping a free slot

Tap an empty slot on the Diary to open the add sheet with the day, the team member and the start already filled in.

What it is#

A quick way to add a one-off job where you can see room for it. Tapping an empty part of a team member's day on the Diary opens the same sheet as Add a one-off job, with Choose the slot already selected and the day, the team member and the start filled in.

When to use it#

Use it when you are looking at the diary and can see the gap you want. It saves choosing the customer's slot from a list.

How to do it#

  1. Open Diary and find the free time you want.
  2. Tap the empty slot. The sheet opens with the day and the team member at the top.
  3. Read the lines under it. They say when the gap starts and ends, for example after one visit and before the team member's break, and how much time is free, including any flex.
  4. The start is the end of the previous visit, or the start of the day if the gap is the first one. Change the Start time if you want.
  5. Fill in the customer and the job, as for any one-off job.
  6. Read the line above the add button. It says whether the job fits.
  7. If the job is too long for the gap, press Move later visits to fit, or press See suggested slots instead to pick another slot.
  8. Press Add job.

What your customer sees#

If you tick Email the customer what has been agreed, they get an email with where the work will be done and on which day, and whether to expect you in the morning or the afternoon. It never gives a clock time.

What happens next#

The job is booked on that day, with that team member, at that start. It is confirmed and pinned, and the planner does not move it. Nothing else moves unless you pressed Move later visits to fit.

The team member sees nothing until the job is added. Then it is on their page with its clock time, and if it is today or tomorrow they are emailed straight away.

Good to know#

  • Tapping where there is no team member, such as an empty day or the dates beyond the planned window, opens the sheet empty.
  • A day nobody works opens a box saying Nobody has working hours on this day. Choose Book a one-off anyway, or Add one-off hours or a day for a team member to give someone hours that day only.
  • If the start falls inside a visit or a break, the sheet names it and the add button stays off until you choose another time.
  • If the job runs past the end of the day, the sheet says how far over it will go, or that it fits using flex. You can still add it.
  • Tapping a free slot works the same in automatic mode ("Let the diary plan itself") and self mode ("I place visits myself").
