When a team member is too full

What it is#

Each night the diary checks every team member's settled days over the weeks it plans. When a day is full in more than half of those weeks, the diary moves a customer to make room by itself (see rebalancing). It never moves a customer you set to that day or team member yourself, with a Days or Team member row on their service. When those customers are why the day is full, a card in your To do list says so, for example "Dan's Tuesdays are too full".

When to use it#

When the card appears on your dashboard. It is worked out each night and stays until the day is no longer full most weeks, or until you hide it.

How to do it#

Open the dashboard and find the card in To do. It says how many of the next weeks the day is over the team member's hours, and how many of its customers you set there.
Read the suggestions. There are up to three, best first: the same day with another team member, the same team member on another day, or taking off the team member you set so the diary places the customer. Each says why it fits, for example "Tuesdays with Marcus. Marcus has 2h free."
Press Do it to make that change to the customer's visits from now on.
Or press Choose myself to open the customer and change their Days or Team member yourself.
Or press Not now to hide the card for 4 weeks.

What your customer sees#

Nothing at the time. Pencilled visits are not emailed. When a visit on the new day is confirmed, the customer gets the usual confirmation with the day and whether to expect you in the morning or the afternoon. It never gives a clock time. Your agreement tells customers that the day or team member may change when the work needs it.

What happens next#

The customer's Days or Team member row changes, as moving a visit with This visit and all future visits does, and the diary places their visits there from its next planning pass. Confirmed visits stay where they are. The change is recorded in the customer's history. The card goes once the day is no longer full most weeks.

Good to know#

Each suggestion is checked for room in normal hours in every week the diary plans.
The card is only about customers you set yourself. Customers the diary settled are moved by the diary.
In self mode ("I place visits myself") nothing moves by itself: the diary's suggestion to move a customer's routine shows in To do the same way, with Move it.
