How breaks are placed in each team member's day

Each team member gets one break block a day, placed between visits inside your break window and as near their usual break time as the day allows.

What it is#

Every working day has one break block for each team member. It holds their lunch and their breaks together. The diary places it in a natural gap between visits, starting inside your business's break window and as near to the team member's usual break time as the day allows. It never splits a visit.

When to use it#

Set it up when you add a team member's working hours, and again if your business changes when people stop for lunch. Move a single break on the diary when one day needs something different.

How to do it#

  1. In Settings, under Scheduling, set Breaks start between the earliest and the latest time a break may start. New accounts start at 10:30 and 15:00.
  2. Press Save scheduling.
  3. Go to Team, open the team member and open the Standard working hours tab.
  4. For each working day, enter the Lunch and Breaks minutes, and the usual Break at time.
  5. Press Save working hours.
  6. To move one break on one day, drag its block on the diary to where you want it.

What your customer sees#

Nothing. Breaks are for you and your team only.

What happens next#

The diary places each break when it plans the day. Visits are fitted around it, and the day's total counts it as time not worked.

A break you have dragged stays where you put it. The visits after it move later by the length of the break so nothing overlaps.

If you press Move later visits to fit to make room for a one-off job, the break moves like a visit and keeps its full length. It can end up outside the break window, and the sheet tells you so before anything is saved.

The team member sees their break on their page, placed among the day's visits.

Good to know#

  • On the diary, breaks are shown with pink dots and listed in the key as Breaks.
  • The break time on the team member's hours must fall inside their working day, and lunch and breaks must leave some working time. The app tells you if either is wrong.
  • The first time in Breaks start between must be earlier than the second.
  • If a busy day leaves less room than usual, you get a notice that the team member's break on that date is shorter than usual.
  • Breaks work the same way in automatic mode ("Let the diary plan itself") and self mode ("I place visits myself").
