Move later visits to fit

When a one-off job is too long for a gap in the day, push the later visits back instead of choosing another slot.

What it is#

Sometimes the slot you want for a one-off job is a gap that is too short: another visit, or the team member's break, starts before the job would end. The sheet says how much time is free and how long the job takes, and the add button stays off. Move later visits to fit pushes the later visits and the break back so the job fits.

It is offered for one-off jobs only.

When to use it#

Use it when the day and the team member are right for the job and the later visits can start a little later. If they cannot, choose another slot.

How to do it#

  1. Add a one-off job and choose its slot, by tapping a free slot on the diary, from Suggested slots, or with Show the diary.
  2. Read the line above the add button. If the job is too long for the gap, it says how much time is free before the next visit or break, and how long the job takes.
  3. Press Move later visits to fit. The sheet lists exactly what moves: each visit's old and new start, where the break moves to, and when the team member's day now ends, or how far over it will run.
  4. Check the list. Press the button again to undo it if you change your mind.
  5. Press Add job. The job and the moves are saved together.

What your customer sees#

The customer with the new job gets what any one-off job sends. Customers whose visits were pushed later are told nothing, unless a confirmed visit moved from the morning to the afternoon. That customer gets a new visit confirmation with the day and the afternoon. No customer is ever told a clock time.

What happens next#

Only the visits after the job's start move, on the same day, in the same order, and only as far as they must. A later gap takes up what it can, so visits after it may not move at all. The break moves like a visit and keeps its full length.

The team member sees the new job and the new times on their page. If the job is today or tomorrow, they are emailed about the added job.

Good to know#

  • Nothing moves until you press Add job.
  • The break can move outside the break window when you use this. The list says so.
  • If the day runs over, it shows on the diary as over its normal end.
  • If the start falls inside a visit or a break, this is not offered: choose another time.
  • If the job only runs past the end of the day with nothing after it, you do not need this. The sheet says how far over it will run, or that it fits using flex, and you can add it.
  • It works the same in automatic mode ("Let the diary plan itself") and self mode ("I place visits myself").
