Pencilled, then booked
Visits are pencilled in first and booked the number of days ahead you set; booked and pinned visits never move by themselves.
Also included
- Let the diary place it. Give a one-off job a number of days and the diary finds the slot and tells you where it went.
- Choose the slot. Or choose from the slots offered for the days ahead, those that fit, fit if one visit moves or need flex or extra time, or choose in the diary.
- The diary inside the sheet. Choose in diary while you add work, and tap a day that fits to see it.
- Tap a free slot. Tap an empty slot on the diary to add a job there, with the day, the team member and the start filled in.
- Drag to move. Drag a visit to another day, team member or time; if it does not fit, the diary says so before anything changes.
- Move later visits to fit. When a job is too long for a gap, push the visits after it back instead of choosing another slot.
- Settled routines. In automatic mode, after two visits with the same team member on the same weekday, the customer keeps that day and team member where there is room.
- Rebalancing. Each night the diary checks the weeks it plans and moves a routine off a day that is full most weeks, carefully, or suggests the move in self mode.
- Breaks, flex and travel. Breaks go between visits inside your break window, flex is used only when nothing else fits, and travel time is allowed for.
Questions about this feature
Do I schedule, or does RotaRound?
New businesses start with the diary planning visits for them. You can switch to placing visits yourself at any time in Settings. The setting is Who places the visits: Let the diary plan itself, or I place visits myself. Either way the visits fall due on the same days; the choice only decides who places each one. How far ahead does the diary plan?
Thirteen weeks. Beyond that the diary shows pencilled visits as light blocks, inside working hours where they usually go, with an approximate time, up to a year ahead. Nothing there is booked until its week is planned; times and team members are set nearer the date. Read more: Reading the diary and its key
Does the diary move visits on its own?
Only visits that are pencilled in, and never while you are placing or moving a visit. Visits are pencilled first and confirmed the number of days ahead you set; confirmed visits, pinned visits and anything you place yourself stay where they are until you move them.
