The diary
Reading the diary, the two modes, placing work, breaks, flex, routines and full days.
-
Reading the diary and its key
How the diary shows each team member's day, how to change the range and view, filter it, and what every entry in the key means.
-
Automatic and self mode
Choose whether the diary places every due visit for you, or whether you place each visit yourself.
-
Let the diary place it, or choose the slot
When you add an agreed one-off job, decide whether the diary finds its slot or you choose the day, team member and time yourself.
-
Suggested slots
The next five slots that can take a job or a visit, soonest first, each marked as fitting, needing flex, or moving one visit.
-
The diary inside the sheet
Open a small week diary inside the add sheet and tap a free slot to choose it, without leaving the job you are adding.
-
Tapping a free slot
Tap an empty slot on the Diary to open the add sheet with the day, the team member and the start already filled in.
-
Dragging a visit
Move a visit to another day, time or team member by dragging it on the diary, and choose whether to email the customer.
-
Move later visits to fit
When a one-off job is too long for a gap in the day, push the later visits back instead of choosing another slot.
-
What are flex hours and when does the diary use them?
Let a team member start a little earlier or finish a little later on a weekday, used only when a visit or job cannot otherwise fit.
-
How breaks are placed in each team member's day
Each team member gets one break block a day, placed between visits inside your break window and as near their usual break time as the day allows.
-
How travel and loading time are counted in a day
The diary adds an estimate of travel between visits and a set loading time to every visit, so each day's plan is realistic.
-
What a settled routine is and how a customer settles
In automatic mode, a customer settles on a team member and weekday after a run of visits with the same pair, and the diary keeps them there.
-
Why the diary moved a customer's routine
Each night the diary checks whether a settled day is full most weeks, and either moves one customer's routine or suggests the move to you.
-
What an overloaded day is and how to clear it
A day is overloaded when its visits, loading and travel run past the team member's hours and flex. Here is what marks it and what to do.
-
Pencilled, confirmed and pinned visits
What each state means, which visits the diary may still move, and how to set when visits confirm and the customer is emailed.
-
A job needs your decision
When a flexible one-off job's window closes before the diary could place it, it waits for you to place it by hand or cancel it.
