One-off hours or a day

Add working hours for a team member on a day they do not usually work, and see every day they went beyond their pattern.

What it is#

One-off hours give a team member working time on a single date when they do not normally work, such as a Saturday to catch up after rain. The usual weekly pattern stays as it is. The same tab also lists every day they went beyond their pattern, whether through flex, an overloaded day or work you extended by hand.

When to use it#

Use it when a team member agrees to work a day outside their usual week. To shorten a normal working day, record an absence instead. To run a normal day late, book the visit or job and the day extends.

How to do it#

From the diary:

  1. Press Add one-off hours or a day for a team member. On a day when nobody works, the same button is on the empty day.
  2. Choose the Team member. Anyone who already works that day is marked.
  3. Set the Date, the times from and to, and the Lunch (minutes) and Breaks (minutes).
  4. Press Add the extra day.

From the team member's record:

  1. Open Team, press the team member's name and choose the One-off extra hours tab.
  2. Under Extra day, choose the date and set From, To, Lunch (min) and Breaks (min).
  3. Press Add.

What your customer sees#

Nothing directly. The extra day gives the diary more room, so a customer's visit may be placed on it. They are told the day and the morning or the afternoon as usual.

What happens next#

The planner may use the added hours at its next pass. The hours count as ordinary working hours, so planning, day totals and pay all include them.

The table on the One-off extra hours tab lists each day with its Type: Extra day, Flex used, Overloaded or Extended by you, with the hours beyond the pattern and the day's total. Only extra days can be edited or removed; the other rows are there for the record. Press Open that day to see it on the diary. Use Dates to show a range.

The team member sees the day and its visits on their page like any working day.

Good to know#

  • An extra day is only for a day with no working hours. If the team member already works that day, the app says so and points you to an absence or to booking the visit.
  • Extra hours are extra wages. They appear in the pay export with the rest of their hours.
  • To make the change every week, edit their working hours instead.
  • It works the same in automatic mode ("Let the diary plan itself") and self mode ("I place visits myself"): the extra day is working time the diary can use, whoever places the visits.
