Pair two or more team members who go out together on set weekdays, with one route and one diary column.

What it is#

A crew is two or more team members who go out together on the weekdays you choose: one van, one route and one diary column. On crew days a visit takes its time divided by the crew's size, so a two-hour visit takes an hour with two people. Each member is still paid their full hours.

When to use it#

Use it when the same people regularly work together on certain days, for example a pair who do the larger gardens on Tuesdays and Thursdays. If two people only work together once, book the visit with one of them instead.

How to do it#

  1. Open Team and stay on the Team members tab. The Crews card is under the table.
  2. Press Add crew.
  3. Under Members, choose two or more team members.
  4. Give the crew a Name, or leave it blank to use the members' names.
  5. Under Days together, tick the weekdays they go out together.
  6. Set From, and Until (optional) for their last day together if you know it.
  7. Press Add crew.

What your customer sees#

Nothing changes for the customer. Their visit emails name the day and the morning or the afternoon as usual, never a clock time.

What happens next#

On crew days the diary shows one column for the crew, and planning places visits for the crew at their shorter length. The crew's card shows the days they are together, the dates and the hours they share on each day.

Each member sees their crew visits on their page and in their daily email, with the names of the people they are with. If the crew changes for today or tomorrow, each member gets a change email saying who they are now with, or that they are working alone.

Good to know#

  • A crew's hours are the hours its members share. Change a member's working hours and the crew's change with them.
  • Press Edit on the crew's card to change it, or End crew to finish it. The members work alone from the next day.
  • Ended crews are kept under their own heading on the card.
  • Each member's pay is their own full hours, not the shorter visit time.
  • Crews work the same in automatic mode ("Let the diary plan itself") and self mode ("I place visits myself").
