Reopening a cancelled day

Undo a cancelled day or part of a day so planning can use the time again, and put the cancelled visits back if you want.

What it is#

When you cancel a whole day, a team member's day or part of a day, the app records that time as closed and planning leaves it empty. Reopening removes the closure, so planning can use the time again. You can also put the cancelled visits back and remove any leave that was recorded with the cancellation.

When to use it#

Use it when the reason for the cancellation has gone: the rain stopped, the team member is well again, or the van was fixed sooner than expected. It only lists days from today on.

How to do it#

  1. Open Team and choose the Cancelled days tab.
  2. Find the day in the list. Each row shows the Date, Who was cancelled (Everyone or one team member), the Time (Whole day or the part of the day) and the Reason.
  3. Press Reopen on that row.
  4. In Reopen this day?, tick what you want undone:
    • Put the cancelled visits back on this day. The tick names how many visits there are. Each goes back to its slot as it was, pencilled or confirmed.
    • Remove the leave recorded for the team member on this day, if an absence was written with the cancellation.
  5. Press Reopen to confirm, or Back to leave it as it is.

What your customer sees#

If you put the visits back, each customer who was emailed about the cancellation gets an email saying their visit is back on, as it was before it was cancelled. It names the day and the morning or the afternoon, never a clock time. A customer who was not emailed about the cancellation is not emailed now.

What happens next#

The closure is removed and the row leaves Cancelled days. Planning can use the time again at its next pass. Visits you put back are in their slots on the diary, and on Missed visits and cancellations their status becomes Reopened. They stay there for the history and count in no total.

If you left the visits off, they stay cancelled. They remain on Waiting to be scheduled or the record, as before.

Good to know#

  • Only cancelling a day or part of a day records a closure. A single cancelled visit is not listed here.
  • Leave written with Also record an absence for a team member can also be edited or deleted on their Absences tab.
  • In automatic mode ("Let the diary plan itself") the planner may fill the reopened time at its next pass. In self mode ("I place visits myself") the time is free for you to place visits in.
  • When there is nothing to reopen, the tab says No cancelled days from today on.
