Ending a property or an agreement

Take one property off an agreement from a chosen date, or cancel the whole agreement at the end of its notice period or sooner.

What it is#

There are two ways to end work under an agreement.

Ending a property takes one property off the agreement from a date you choose, for example when the customer sells it. The rest of the agreement carries on.

Cancelling the agreement ends the agreement itself, and with it the work it covers. The app works out the end date from the agreement's terms.

When to use it#

End a property when the customer no longer needs work at one address but keeps you at others. Cancel the agreement when the customer is leaving altogether, or when you want to stop working to it.

If the customer wants to cancel within 14 days of accepting, they can do it themselves on their manage page.

How to do it#

To end a property:

  1. On the customer's record, open the property's Property menu and choose End property.
  2. In End this property?, set the End date. No visits are made from this date.
  3. Add a Note if you want, and leave the email tick on to tell the customer. Check the preview.
  4. Press End property.

To cancel the agreement:

  1. On the Agreement card, press Cancel agreement.
  2. The dialog Cancel this agreement gives the end date: straight away inside the cooling-off period, otherwise at the end of the notice period.
  3. To end on another date, tick End sooner and set End on. The dialog warns you if that date is inside the initial term or sooner than the notice period allows.
  4. Read What ends on that date and Outside the agreement, so it carries on.
  5. Leave the email tick on to tell the customer, check the Cancellation email preview, and press Cancel agreement. Press Back to leave it.

What your customer sees#

When you end a property with the tick on, the customer gets an email headed Your visits to the address end on the date you chose. The agreement also records the property as removed from that date.

When you cancel the agreement with the tick on, the customer gets an email headed Your agreement with your trading name is cancelled, with the date it ends. Dates are given in full, never a clock time.

What happens next#

On the end date, the property or the covered services stop. Planned visits on or after that date leave the diary and are listed in Missed visits and cancellations, with the reason Property ended or Agreement cancelled. Anything outside the agreement carries on. A customer left with no live property moves to Past customers.

Ending a property under an agreement also prepares a Property removed update in Ready to send.

The team member stops seeing the ended visits on their page.

Good to know#

  • An end date can be up to 365 days in the past or 730 days ahead.
  • If you end a customer's only property, the dialog asks whether to end the customer too.
  • The agreement text says that selling a property ends that property's services on the date, with no notice needed.
  • Archiving a customer ends any agreement they have.
  • After an agreement ends, the Agreement card offers Prepare a replacement.
  • Automatic mode and self mode make no difference.
