What it is#
A customer's page link works without a login, so anyone who has the link can open the page. Revoking a link stops it working straight away. You can revoke one customer's link, with or without sending them a new one, or revoke every customer's link at once.
When to use it#
Revoke one link when it may have reached the wrong person: an email forwarded by mistake, a shared inbox, a customer who has moved out. Revoke every link if you think many links have been exposed, for example after a lost phone that had your customer emails on it.
How to do it#
For one customer:
- Open the customer's record and find the Customer page card.
- Press Revoke to stop the link working and send nothing. You can send a fresh link later with Send link.
- Or press Revoke and re-issue to stop the old link and email the customer a new one in one step.
For every customer:
- On the Customers page, press Revoke all customer links. The button shows how many links there are, and is greyed out when there are none. On a phone it is under More.
- The dialog explains that every link stops working straight away.
- Leave Send everyone a new link now ticked to email a new link to every customer with an email address. Untick it to send nothing, so you can send links one by one later.
- Press Revoke all links.
What your customer sees#
With Revoke, nothing is sent. The old link no longer opens their page.
With Revoke and re-issue, or with the tick on when revoking all, the customer gets an email from your business with a new link to their page. The old link no longer works.
Customers with no email address on their record are sent nothing.
What happens next#
The Customer page card shows when the link was revoked. A message confirms what happened, for example that the old link no longer works and nothing was sent, or that a new link was issued and sent. Revoking all tells you how many links were revoked and how many new links were sent.
If you press Revoke on a link that was already revoked, nothing changes and the app says so.
Good to know#
- Revoking a link does not change anything else about the customer: their visits, agreement and emails carry on as before.
- Visit emails already in a customer's inbox carry a link to their page. After a revoke, that link stops working too. Send a new link so they can still reach their page.
- Team members' page links are separate and are not affected. They have their own controls on the Team page.
- The revoke all dialog has no separate cancel button: close it with the dialog's close control to leave without revoking.
- Revoking works the same in automatic mode and in self mode.
