What it is#
A property is one address you work at. A customer can have several: a landlord with three flats, or a family with a house and a holiday cottage. Each property has its own card on the customer's record, with its own access instructions, regular service, price, invoicing and visit history.
Each property card shows, from the top:
- the address as its heading, and a Map link
- badges such as Keys held, a pause, or an end date
- Next visits, with pencilled visits marked as such, and any one-off jobs
- Service since, then the address, nickname and access fields
- the regular service, its price, Price history and Invoicing
- Customer preferences and placement, with the days and team member
- the Add menu and the Property menu
- the visit history, collapsed, with a download
A property with no regular service says so, and its one-off jobs stay in the visit history.
When to use it#
Add a property when a customer asks you to work at another address. Give it a nickname when the address alone does not tell you which one it is.
How to do it#
- Open the customer's record from the Customers page.
- Press Add another property below the properties. If the customer has none yet, press Set one up.
- The page that opens is headed with the customer's name. Fill in the address, Nickname if you want one, Access instructions, and tick Keys held if you keep a key.
- Set up the regular service for this address under Service, visits and pricing, as you would for a new customer.
- Press Add property.
- To change a property later, edit its card on the record and press Save property.
- To add work at this address, open the card's Add menu and choose Add a regular service, Add a one-off job or Create quote.
What your customer sees#
Nothing is sent when you add or change a property. On their own page, a customer with several properties chooses which property when they send you a note, and can update the access instructions for each address.
What happens next#
The new property's visits are planned in the diary. On the Customers page, a customer with more than one property expands into lighter property rows beneath their name.
Good to know#
- The nickname shows in brackets after the address. On the Customers page, a nickname of "Home" is not shown.
- You can pause a single property with Pause property in its Property menu. No new visits are planned there until it resumes. See Pausing and ending.
- If the customer has a signed agreement, a new property can be added to the agreement or kept outside it. Adding it prepares an update in Ready to send, and the visits start straight away.
- Ended properties are hidden on the record until you press the button that shows them. The button says how many there are.
- In automatic mode ("Let the diary plan itself") the diary places the new property's visits. In self mode ("I place visits myself") they wait for you to choose their slots.
