How the Looking ahead card on the dashboard works out booking value, team costs and profit for the week, month or year ahead.

What it is#

You need to know whether the work ahead pays for your team. The Looking ahead card on the dashboard gives the value of your booked visits, the estimated cost of the team members doing them, and the profit between the two.

When to use it#

Check it when you plan hiring, set prices, or want to see whether a quiet week still covers your costs.

How to do it#

  1. On the dashboard, find Looking ahead.
  2. Choose Week ahead, Month ahead or Year ahead. The card remembers your choice on this device.
  3. Read the tiles: Visits, Scheduled hours, Available hours, Total booking value, Estimated team costs and Profit.
  4. Read the lines under the tiles for charged cancellations, visits with no room yet, and upcoming leave.

What happens next#

The figures update as the diary changes. They are worked out like this:

  • Week ahead is today and the next six days. Month ahead is 28 days from today, not a calendar month. Year ahead is today and the next 365 days.
  • Total booking value is the price of the visits in the period, in whole pounds and without VAT.
  • For the week and the month, Estimated team costs is each team member's planned time, which is their visits plus travel and loading, at their hourly rate with additional employment costs added. A salaried team member's cost is shared across the time.
  • For the year, the cost is a projection. Salaried team members count at their full cost, and the expected hours are shared among hourly team members by their usual hours.
  • Profit is booking value minus estimated team costs, before your other costs. A badge gives the margin, and it shows red when the figure is below zero.

VAT is left out of both sides.

Good to know#

  • Only placed visits count for the week and the month. In self mode ("I place visits myself"), visits still waiting to be placed are not in these figures until you place them.
  • In automatic mode ("Let the diary plan itself"), the diary places visits at its planning pass, and each one counts once it is placed.
  • Cancellations you charged for add to the booking value, with no hours and no pay counted for them.
  • Pay rates and additional employment costs are set on each team member's record, under Pay and holiday (private to you).
  • For the month and the year, visits beyond the planning window with no room yet are counted and noted under the tiles.
